Job Summary

We are looking for an experienced Onsite Project Coordinator with a strong background in the Oil & Gas, refinery, petrochemical, or plant environment . The ideal candidate will coordinate onsite field verification and walkdown activities while serving as a key point of communication between client stakeholders, field teams, engineering/back-office teams, vendors, and site representatives.

The role requires strong skills in project coordination, field walkdowns, documentation, progress tracking, stakeholder communication, and issue resolution .

Key Responsibilities

• Coordinate day-to-day onsite activities between client stakeholders, field verification teams, engineering/back-office teams, vendors, and site representatives.
• Support execution planning, including site sequencing, mobilization/demobilization, work-front readiness, permit readiness, documentation, and site access requirements.
• Coordinate field walkdown and verification activities involving:
  • P&IDs
  • Plot Plans
  • Area Classification Drawings
  • Lease Flow Diagrams
  • Equipment tags
  • Instruments
  • Control valves
  • PSVs
  • Equipment nameplate information
• Ensure field teams are working with the latest approved drawings, templates, checklists, and field verification procedures.
• Monitor field inputs and documentation required for project deliverables, including red-line drawings, asset registers, PSV information, photo logs, discrepancy reports, query logs, and progress reports.
• Coordinate resolution of client questions, site queries, missing information, tagging discrepancies, and differences between approved documentation and actual field conditions.
• Maintain project trackers covering site readiness, document receipt, pending clarifications, field completion, deliverable status, action items, owners, deadlines, and closure.
• Conduct or facilitate periodic project progress meetings and provide concise status updates.
• Identify and escalate risks, dependencies, and blockers related to site access, permits, safety requirements, missing documentation, operational constraints, or delayed inputs.
• Coordinate with project leadership to support schedule, resource utilization, project tracking, and execution requirements.
• Maintain clear scope boundaries between field verification/documentation activities and excluded engineering or other activities.
• Support coordination with vendors, site personnel, and other project stakeholders to ensure smooth field execution.

• BE/B.Tech in Mechanical Engineering

• Strong documentation, tracking, and reporting skills
• Strong client, vendor, and stakeholder coordination experience
